3. Client & Case Management System

A lightweight, purpose-built client management system, client visits, case notes, documentation, billing status, with digital forms that fill out easily on a tablet or even a phone. Sized for a solo or small practice, not an overbuilt enterprise EHR.

Includes an optional Digital Intake & Care Plan module, a structured client intake and doula-style needs-and-goals care plan, replacing paper packets. Available standalone, or bundled here, with or without the Billing & Invoicing add-on above.

Flat fee, $1,000–$2,500 depending on complexity. Larger custom builds quoted separately.

7. Security & Compliance Support Add-on

HIPAA requires every covered entity to designate a Security Official. Most small practices never formally do. We fill that role part-time: annual Security Risk Assessment, written policies, workforce training records, and a point of contact if something goes wrong.

$300–$800/month, depending on practice size.

We warrant our own work, if something we configure is wrong, we fix it free. We don't guarantee or certify HIPAA compliance, no vendor honestly can, since it depends heavily on daily staff behavior we don't control. What we provide: a documented risk assessment, written policies, training records, and a correctly configured environment, the artifacts regulators actually ask to see. We sign a BAA with every client whose systems may hold PHI.
